Your TeamStaff desks and who pays for their hours

What it is

When a staff member is invited to set up their own desk, the organization covers the desk's hours. Their setup walkthrough skips the hours step entirely — if they jump to it, the screen says "Hours are covered. Your organization covers this desk's hours — nothing for you to set up here." The new desk starts with hours drawn from the organization's balance.

Limits

- An invited member can build one desk — their own. Once they're seated at it, the invitation's desk permission is spent. - If the organization has no balance to draw from, the desk still works; the owner adds hours from Billing.

Your TeamAccept an invitation

What it is

An invitation is a link sent to your email. Opening it joins you to the organization — and creates your account if you don't have one.

How to do it

1. Open the link from the email. 2. No account yet: enter "Your name", "Choose a password" (at least 8 characters), and click "Create Account & Join". 3. Already have an account: sign in and click "Join [organization]". 4. You land where the invitation points: your own desk setup if you were invited to build one, the organization's Desks page if you're an owner or admin, or your desk if one was reserved for you. You can also join by code: the switcher card at the top of the left-side menu → "+ Create organization" → "Join one" tab → paste the invite code.

Limits

- The invitation is tied to the email it was sent to. Signed in with a different address? Ask the sender to reissue it. - A link is single-use and expires. An expired one shows "Expired" on the sender's Staff page; they can resend a fresh one.

Your TeamInvite staff to your organization

What it is

The Staff page adds people to your organization by email. The invitation is also their sign-up — you never need to know whether they already have a Deskcovered account.

How to do it

1. Open the Staff page ("Staff" in the left-side menu, under "Organization") and click "+ Add Staff" at the top right. 2. "Who sets up their desk?" — pick "They set it up" (they build their own desk right after they accept) or "I'll set it up →" (opens desk setup for you, which sends the invitation with the desk). Click "Continue". 3. "Who's joining [your organization]?" — type their email. Click "Continue". 4. "What's their role?" — pick one: - Member: "Works the desks they're seated at, and nothing else." - Admin: "Runs the organization — desks, staff, settings. Deliberately cannot read anyone's calls." - Owner: "Everything, including billing." (Only owners can offer this.) 5. Click "Send Invitation". The email goes out and the person shows on the Staff page as "Invited". Where they land when they accept: a member invited to set up their own desk walks straight into building it; an invited owner or admin lands on the organization's Desks page.

Limits

- If the email can't be sent, the invitation still works — the screen shows the link with a "Copy Link" button so you can send it yourself.

Your TeamMy Profile — your own account

What it is

Your own account page. It shows the email you're signed in with, your name, the organizations you belong to with your role in each, the desks you sit at, and the "Notifications" card where you pick which phone banners your AI assistant sends you.

How to do it

1. At the bottom of the left-side menu, click "My Profile" (your name down there opens it too). 2. Edit your name and click "Save" to change it. 3. To change your password, click "Email me a reset link" — a reset link goes to your signed-in email, and you set the new password from that link.

Limits

- Your sign-in email can't be changed from this page. - Roles are set by an organization's owner or admin on the team pages, not here.

Your TeamRemove someone or change their role

What it is

The Staff page lists everyone — "Accepted" members and "Invited" people — with their role, desk, and status. It's also where roles change and people are removed.

How to do it

Change a role: 1. On the Staff page ("Staff" in the left-side menu, under "Organization"), find their row. 2. Use the role dropdown in the "Role" column (Member, Admin, Owner) and pick the new role. It saves right away ("Role updated."). Remove someone: 1. Open the row's ⋮ menu and click "Remove" (on the phone, slide the row left and tap Remove). 2. The confirmation explains: they lose access to your organization and any desk they sit at here; their login, their own contacts, and desks at other organizations are untouched. 3. If they run a desk, you can tick "Also close [desk]" to close it in the same step — the modal shows exactly what that fires and deletes. 4. Click "Remove" (or "Remove & close 1 desk").

Limits

- Only people who govern the organization see these controls, and you can't change or remove yourself here. - Removing someone doesn't close their desk unless you tick it — the desk stays open with nobody at it.

Your TeamResend or withdraw an invitation

What it is

Invitations that haven't been accepted show on the Staff page with an "Invited" badge (or "Expired" once the link dies). On a computer, each row's ⋮ menu carries the two verbs; on the phone, slide the row left.

How to do it

1. On the Staff page ("Staff" in the left-side menu, under "Organization"), open the ⋮ menu on the invited person's row (on the phone, slide the row left). 2. "Resend invite" — confirms first: "A fresh link goes to [email] and the old one stops working right away. Same role, same desk — nothing else changes." 3. "Withdraw" — confirms first: "The link we emailed [email] stops working immediately. You can invite them again any time."

Limits

- Withdrawing an invitation that carried a desk leaves that desk open with nobody linked to it.
